Board Nomination Instructions

Below you will find a form you can use to nominate a fellow chapter member, or yourself, for one or more of the open positions. You may submit more than one name for each open position. Board position descriptions are provided below.
All those nominated will be contacted prior to the certification of the election ballot to ensure that they are indeed willing and able to participate.

Director (2-year term)

Position Descriptions:

President - 1 year term

  • The President shall be the chief executive officer of the Chapter.
  • Exercise general supervision over the affairs of the Chapter.
  • Responsible for the enforcement of the bylaws and directives of the Board of Directors (BOD).
  • Preside at all meetings of the Chater and the BOD.
  • Keep the BOD fully informed of Chapter activites.
  • Appoint the chairmen of all standing committees with the approval of the BOD.
  • Appoint all special committees.
  • Serve as ex-officio member of all standing committees except the nominating committee.
  • Deliver to his/her successor in office all books, papers, records and other property of the Chapter for which he/she is or may become responsible.
  • Perform all other duties normally incident of this office; responsibilities include the maintenance and preservation of Chapter archives and the development, maintenance and audit of the retention schedule for Chapter records; subsequent retention and disposal of the records will be subject to the approval of the BOD.  Chapter records shall be kept at a commercial records storage facility approved by the BOD.
  • Performs other duties as provided in the bylaws or assigned by the BOD.

Vice-President - 1 year term

  • Holds the position as the Membership Chairman.
  • Maintains the Chapter membership database and provides a listing of all intended recipients of the chapter newsletter to the newsletter editor each month.
  • Provides a list of new members to the BOD each month as part of the monthly report.
  • Prepares and distributes a current membership directory to the chapter membership twice each year.
  • Assist the President with his/her duties.
  • Assumes the duties of the President during an absence or disability and shall succeed to that office for the unexpired term.
  • Perform such other duties as provided in the bylaws or assigned by the President of the BOD.

Secretary - 1 year term

  • Keeps a record of all meetings of the BOD and of the membership.
  • Distribute copies of the record of proceedings at BOD meetings.
  • Responsible for preparting and distributing notices of all meetings.
  • Handles correspondence as directed by the President and/or BOD.
  • Assists in the validation of the election results.
  • Preserves all books and papers belonging to the chapter.
  • Performs other duties as provided in the bylaws or assigned by the President and/or the BOD.

Treasurer - 1 year term

  • Is the custodian of chapter funds and shall exercise established practices and procedures of fiscal responsibility.
  • Disburses funds of the chapter as authorized by the President of other chapter officer. All checks shall require the signature of two officers.
  • Deposits all funds in the name of the chapter in depositories approved by the BOD.
  • Provides budgets and statements of the financial condition of the chapter at the close of each fiscal year and at such other reasonable times as the BOD may require.
  • Submits the budget for approval by a majority vote of chapter members in attendance at the first meeting of the new fiscal year.
  • Provides a complete set of books for an annual financial sef-examination/internal audit at the close of his/her term.
  • Submits reports as required by ARMA International.
  • Acts as the liaison between the chapter and the host venue for monthly chapter meetings.
  • Manages the reservations for the monthly chapter meetings and manages the registration table at each meeting.
  • Performs other duties as provided in the bylaws or assigned by the President and/or BOD.

Program Director - 1 year term

  • Arrange programs for monthly general membership meetings to carry out the general theme of records and information management and professional development.
  • Set the educational tone for the chapter and be responsible for ensuring that the meetings are a useful source of information for members.

Director - 2 year term

  • Acts as an advisor to the Board regarding chapter functions.
  • Provides additional support of chapter functions as needed.
